Shipping Club Orders in Summer Heat: Planning Your Release Calendar

A case of wine left on a hot porch can be ruined in an afternoon. For club members, a cooked shipment is the fastest route to a cancellation, and for you it’s a replacement shipment and a lost margin. Summer shipping doesn’t have to be a gamble if you plan the calendar around it.

1. Plan releases around the weather, not the calendar

Look at when your members’ regions are hottest and move releases away from those weeks. Many producers ship a spring release early and an autumn release after the heat breaks, with a pickup-only or digital-only moment in high summer.

Map where your members live. If most are local or in cooler coastal areas, you may only need to avoid a few weeks. If you ship to hot inland regions, plan a longer gap, or ship those members on a different date from everyone else.

Tell members about the plan when they join and again each spring, so a later autumn release feels considered, not late.

2. Offer a hold or pickup option

Give members a choice: ship now, hold until the weather cools, or pick up at the winery. Members who choose pickup visit, and visits lead to extra purchases.

Make the choice easy: one clear question in the release preview, with a deadline. Set a date by which held shipments will go out, so members aren’t left wondering, and remind them before it ships.

Give pickup members a reason to come: a members-only tasting on pickup weekend, a small gift, or early access to a new release.

3. Ship early in the week

Ship Monday to Wednesday so packages don’t sit in a warehouse over a weekend. Ask your carrier about faster service options for the hottest zones, and about how their trucks and depots handle heat.

Check the forecast at both ends of the journey before you ship. If a heat wave is coming to a member’s region, hold that shipment for a few days. A short delay is far better than a damaged case and a replacement.

4. Use the right address and the right rate

Many heat problems are really address problems: a member who moved, a business address that’s closed on Saturdays, a holiday home nobody’s at. Ask members to confirm their address before each summer release, and ship to the address they confirm.

Suggest a work address or a pickup point for members who aren’t home during the day, and offer hold-at-depot delivery where your carrier has it. Check that each member pays the right rate for their zone, including any extra for insulated packaging, so the cost of shipping safely doesn’t come out of your margin.

5. Communicate before, not after

Tell members when their release will ship, how it’s packed, and what to do when it arrives: bring it inside and let it rest for a few days before opening. A short heads-up email prevents most complaints.

Send tracking details on the day it ships, and a reminder the day before delivery if your carrier allows it. Members who know a box is coming are much more likely to be home, or to arrange a safe place for it.

6. Have a replacement policy ready

Decide in advance what you’ll do if a shipment arrives damaged: replace, credit or refund. A clear, generous policy turns a problem into a reason to stay.

Write it down and share it with your team, so every member gets the same answer. Ask for a photo of any leaking or damaged bottles, note the carrier and the route, and keep track of problems over the season. If one route or carrier causes most of the trouble, change it before next summer.
