Ring up bottles, cans and tastings on a fast POS with integrated Elavon and Moneris terminals. Hold tabs, sell gift cards, reward loyal customers, and check in guests who booked a tasting online. Bottle deposits are added automatically, and GST and PST are shown on every sale.

Each can, bottle or pack size is its own item with its own price, SKU and deposit, so a four-pack and a single bottle both ring up correctly. Club members get their pricing automatically, and receipts show what they saved. Split a bill across payment types, take tips and report them by staff member, and run the same screen on a tablet or handheld device when the bar is busy. At closing, the Cash Out Report breaks down payments and tips by type.

Start typing a name and the customer list narrows as you go, or add a new customer without leaving the sale. You choose which payment types appear, so staff only see the ones you take, and for cash, QUALO shows the change due and records only what’s owed. For a return, tick Refund and the cans go in as negative quantities, and any loyalty points earned on the sale are taken back.

A cider club that runs itself

Set up as many clubs or subscriptions as you like, let members confirm or customize each release online, then charge the whole club in one pass. Members manage their own addresses and card on file in the member portal.

Build each release from the ciders you have, and QUALO shows what’s on hand and what will be left after the release. Choose whether members can remove items, add items, or take the release as entered. The Subscription Dashboard shows which orders are unreviewed, reviewed, confirmed or modified. Stored cards are charged in bulk, and declined or expired cards go to their own queue for follow-up. Every club gets its own sign-up page and link, which you can share as a QR code at the bar.

Members can choose pickup instead of shipping at any pickup location you set up, such as your cidery, and the stock comes out of that location. Shipping rates can differ by customer type, so members can get a shipping discount, and an order with no valid shipping zone is held for review instead of going out with the wrong charge. When a seasonal club closes to new members, mark it retired and current members keep getting their releases.

Sell online and in the tasting room from one inventory

Your branded online shop, tasting room, club and wholesale orders all draw from the same live stock, across every location and off-site warehouse. Reorder alerts warn you before a favourite runs out.

Launch a branded shop with your own header and sections, set maximum order quantities for small-batch releases, and let customers choose pickup or shipping. Transfer stock between the cidery, the tasting room and storage with packing slips that list barcodes and weights. Run physical counts with variances shown, and see who changed what and when. Inventory Summary, Depletion and Valuation reports show what moved and what it’s worth.

Each cider’s shop page can show a sweetness scale, residual sugar, acid and alcohol, so customers know whether it’s dry or sweet before they buy, and farm notes tell your orchard’s story. When a small batch sells out, QUALO can stop selling it automatically, or keep it on display but not for sale, and some ciders can be set to appear only on club orders.

From fruit to finished cider

Record fruit and juice as it’s received, run press operations with free-run and press fractions kept separate, and track every batch through fermentation and packaging. Recipes hold your Brix and gravity targets, and finished goods move straight into sellable inventory, so every can and bottle traces back to its fruit.

Plan fruit deliveries by grower and variety, then record each load with its weight, Brix and pH. Fermentation profiles set the temperature, target gravity and number of days for each stage, and lab readings stay with the batch they belong to. You can add a sensory review and approval step before a batch is released for sale. Batch and tank QR codes open the right record when scanned.

Each fruit load records the date picked, truck, carrier and driver, the number of bins, the temperature, and the grower contract and cost per unit. Weights can be entered in metric tonnes or short tons, and a photo can be attached when a load arrives damaged. When yeast or other additions go into a batch, they come out of supply stock, and the lot used shows in the batch history.

Wholesale and BC reporting without retyping

Take trade orders, invoice accounts and track what you’re owed. Produce the BC LDB report and import LDB invoices, leave bottle deposits off LDB orders for the customer types you choose, and sync everything to QuickBooks Online.

Set prices by customer type, or agree contract prices with individual accounts, and the right price applies on every order. Credit sales to reps and run commission reports. Outstanding invoices and accounts-receivable aging show who owes what. Price list and where-to-buy reports are ready to share with your accounts, and Alberta AGLC reporting is built in if you sell there.

The wholesale order screen captures the account, seller, location and PO number, and shows each account’s price and the cases available before you commit. Take payment on the spot, or choose Submit & Pay Later so the invoice waits in receivables. When one cheque covers several invoices, mark them paid together, and print or email statements for one account or a whole customer type.

Marketing made for cider

The built-in email designer comes with a cidery image library: orchard harvests, sparkling cider release parties, apple-variety flavour guides, mulled cider for the holidays and cider-and-cheese pairings. Send campaigns to club members on their anniversary, and see who opened and clicked.

Start from ready-made cidery emails grouped by theme, from orchard tasting events and cider-and-cheese nights to serving guides and harvest celebrations, then make them your own. Target customers on their birthday as well as their club anniversary, send to any segment, and track deliveries, opens and clicks. Unsubscribes are handled for you.

Upload your own orchard and tasting room photos to use alongside the cidery image library. After a send, Email History shows which messages were delivered, opened, clicked or bounced, and the Marketing & Email dashboard shows how each template is performing, so you can see whether the harvest invitation or the release note drew more interest.
