Built for Canadian wineries, cideries and breweries
QUALO is developed in Kelowna, in BC’s Okanagan Valley, alongside the wineries, cideries and breweries that run on it. That’s why the parts of a Canadian beverage business that general retail software leaves out are built in: GST, PST and HST, bottle and can deposits, BC LDB and Alberta AGLC reporting, Interac and e-Transfer payments, and a QuickBooks Online sync that understands all of it.
GST, PST and HST, set up for your province
You create each tax with its own name and rate, so GST, PST, HST or a liquor tax all work the same way. Tax zones decide which taxes apply. Each zone holds a Tax 1 and a Tax 2 and applies them to the product divisions you choose, so wine, merchandise and food each pick up the right mix. A BC winery, for example, can keep separate zones for GST and liquor PST, GST and PST, GST only, and no tax. Zones can also match a ship-to address by city, postal code, province or country, so online orders are taxed for where they’re going.
Taxes follow the rest of your setup too:
- Each customer type has a default Tax 1 and Tax 2, and item prices by customer type carry their own taxes.
- Each reservation experience has its own Tax 1 and Tax 2, so tasting fees are taxed correctly.
- When a rate changes, or a temporary GST break starts or ends, add the new tax and choose the one it replaces. QUALO swaps it across your item pricing and tax zones in one step and marks the old tax inactive.
- The Tax Report gives each tax its own column, so you can total what you collected for any period.
Bottle and can deposits on every order
Set the deposit on each item unit, so a single bottle, a four-pack and a case each carry the right amount. QUALO adds deposits at the POS, on invoices, in the online shop and on club orders, and keeps them on their own refundable line instead of folding them into the price. Receipts, invoices and club order confirmations show a separate Refundable-Total, and automatically calculated deposit lines are protected from accidental edits.
Each customer type has a setting that leaves bottle deposits off its orders, and you choose which types use it. Each item unit can also store a separate LDB unit bottle deposit, which the LDB report uses for its deposit amounts.
BC LDB reporting and invoice import
Filter the LDB report by date, company, customer, customer type, category, division, item, inventory location, sold-by rep or invoice status. Generate LDB Report downloads a CSV with your licence number, each invoice’s date and number, the licensee number, customer type, SKU, quantity, price and deposit, with returns listed as their own lines. Pre-order invoices are left out.
Your customer types can have any names you like. Give each one an LDB export code and it’s reported under the right LDB type, so a type called “Walk-in customer” can go out as MOS. Going the other way, the LDB invoice import starts from a downloadable template and brings LDB orders in as invoices against your accounts and products. See wholesale, CRM and reporting.
Alberta AGLC fees, SKUs and reporting
For sales into Alberta:
- Each item unit can carry an AGLC SKU and an AGLC fee.
- Shipping zones can add the AGLC fee per bottle to online orders shipping to Alberta.
- Inventory locations can print AGLC SKUs on transfer packing slips, for warehouses that expect them.
- The AGLC report shows either singles sold, ready to enter on the AGLC worksheet, or an invoice summary you can attach to it.
Canadian payments: Interac, e-Transfer, Elavon and Moneris
Card payments go straight to integrated Elavon or Moneris terminals, and Moneris and Elavon (Converge) also handle online payments. Interac sits beside cash, cheque, Apple Pay, Google Pay and gift cards on the POS, and wholesale accounts can pay by e-Transfer. See payments.
QuickBooks Online, mapped to your Canadian accounts
Each tax and tax group in QUALO has an accounting reference that points to the matching QuickBooks tax, so GST and PST post where your bookkeeper expects. Payment types such as Interac, cheque and e-Transfer are mapped the same way, and you choose the QuickBooks account that payments are deposited to, your tax agency and your exempt tax code.
When an invoice syncs for a customer who isn’t in QuickBooks yet, QUALO creates the customer first. Returns and refunds with a negative total go across as credit memos.
Clubs, shipping and harvest, the Canadian way
Club shipments can download a Canada Post packing list straight from the club packing report. Shipping zones match addresses by city, postal code, province or country, can be limited to certain customer types, and carry their own Tax 1 and Tax 2.
