Getting started
What’s included in QUALO?
QUALO brings your point of sale, clubs and subscriptions, online shop and reservations, inventory, wholesale, CRM and reporting, and production into one system. Everything shares the same inventory and customer records, so a sale in the tasting room, an online order and a club shipment all land in the same place. It’s built in Kelowna, BC, for Canadian craft beverage producers. See the modules.
Is QUALO only for wineries?
No. Wineries, cideries and breweries all run on QUALO. Wineries can record grape deliveries at crush, cideries can keep free-run and press juice separate, and breweries can import BeerSmith, BeerXML and BrewCipher recipes, plan brewing water and track their kegs. See winery, cidery and brewery software.
How much does QUALO cost? Do I pay for each staff member?
Pricing depends on the modules you choose. There are no onboarding fees, and a QUALO licence covers unlimited users, so adding staff never adds cost. Book a demo and we’ll put together a quote for the modules you need.
Can I bring my data over from another system?
Yes. Items, starting inventory quantities, and retail and wholesale customers can be imported from CSV templates. Order history can be imported from Commerce7, WineDirect and QuickBooks, and BC LDB invoices can be imported too. Breweries can also bring their recipes across from BeerSmith, BeerXML and BrewCipher files.
How do setup and staff training work?
We plan your training with you at setup. It’s usually about three hours of one-on-one “train the trainer” sessions, so your leads can then teach the rest of the team. After go-live, two hours of training a month are included, and you can reach our support team any time by email at support@myqualo.com.
Selling and payments
Does QUALO work on a tablet or phone?
Yes. QUALO runs in the browser, so it works on any device with nothing to install. The tasting room and taproom screen resizes for tablets and handheld devices, so staff can serve guests away from the counter on busy days.
Which payment systems does QUALO work with?
Elavon and Moneris terminals connect directly to the POS, so staff never key amounts in twice. The online shop and online reservations take card payments through Elavon (Converge) or Moneris too. The POS also takes cash, Interac, cheque, Apple Pay and Google Pay, and a bill can be split across several payment types. See payments.
Can I run more than one location?
Yes. Add as many locations as you need, such as production, tasting rooms, off-site storage and pickup points. Each location’s stock updates as sales happen, and transfers between locations are tracked while stock is on the way. Each user can have a default location and only sees the locations they have access to.
Clubs and online sales
Can QUALO run my wine club, cider club or beer subscription?
Yes. You can run as many clubs as you like, each with its own schedule, member pricing and sign-up page. For each release you decide how much members can change, and members confirm their order online. When you’re ready, charge stored cards for the whole club in one pass, and declined or expired cards go to their own list so your team can follow up. See clubs and subscriptions.
Can I sell online and take reservations?
Yes. You get branded online shops on myqualoshop.com, with member pricing, pickup or shipping, promo codes and gift cards. You can also publish tastings, tours and experiences with set capacity and payment up front. On the day, the booking flows into the POS and is checked out automatically when the sale is finished. See e-commerce and reservations.
Inventory, reporting and compliance
Can I see my customers’ buying trends?
Yes. The Customer Ordering Trends report compares what customers bought in one period with another, and another report shows each customer’s last order. There are close to 20 live dashboards, covering sales performance, customers and loyalty, and year-over-year sales. Every customer has one record with their history across the tasting room, online shop, club and wholesale.
Does QUALO handle Canadian taxes, deposits and liquor-board reporting?
Yes. GST and PST are shown on every sale, and taxes are set up in tax zones so each product gets the right taxes for your province. Bottle and can deposits are added automatically at the POS, online and on invoices, and you can leave them off for customer types that shouldn’t pay them. QUALO produces the BC LDB report, imports LDB invoices and runs the Alberta AGLC report.
Does QUALO work with my accounting software?
QUALO syncs with QuickBooks Online. Invoices, payments and tips go across, and each QUALO payment type is matched to the QuickBooks account your bookkeeper chooses. Returns go across as credit memos, and if a sync is interrupted, a recovery sync picks up the missed records.
